Special Arrangements:
The WISE Club agrees to rent the WISE Club Hall to the above-mentioned person or organization, under the following
conditions:
1) Bar service is provided exclusively by The WISE Club.
2) No alcohol is permitted on the premises, except that provided by the WISE Club. No MINORS when the WISE Club
provides the Bar.
OR
1) Bar service is provided exclusively by the renter contact as named above .
2) The renter contact as named above will obtain the required Special Occasion License and will provide all staffing, beer,
liquor and other drinks for the bar and will meet the standards of service required by the government and the WISE Club.
The renter will abide by terms set out on the Special Occasion License. You must present a copy of your special occasions
license two weeks prior to your event. SEE BAR CLOSING & CLEANING CHECKLIST!
3) Governments Sales Tax is payable on fees paid to the WISE Club.
4) No drinks of any kind are to be taken outside. Please ensure that door security enforces this policy, remembering that
our neighbours can misconstrue even water.
5) Renter must provide adequate staffing to cover set-up, door, security, childcare , and post-event clean up. Renter must
provide change floats for food sales or admission. If the renter does not confirm that adequate security staff has been
obtained, the WISE Club will provide our own security, and will bill the renter for this charge. Our security cost is
$125.00/night per security person and must be arranged in advance.
6) Clean up is picking up garbage, wiping the tables and chairs clean, removing all empty cans and bottles. Tables and
chairs are to be stacked on the on the wood floor next to carpeted areas. Any tape or staples used must be removed by the
renter. Large items over 10lbs or 3 cu.ft. must be approved for installation by the Hall Coordinator before the event. If the
renter does not leave the Hall in a satisfactory state of cleanliness, additional charges will be levied.
7) Standard rental period is eight (8) hours. Please remember that this includes set-up, show or event duration, and clean
up. If more time is required, an additional hourly charge will apply.
8) Sound carries beautifully in our hall and outside into the neighborhood as well. Consequently, the renter must insist all
performers play at volumes approved for residential areas. WISE Club staff reserves the right to control volume, and if
necessary enforce this policy with renters. The renter is to provide the WISE Club with details about sound amplification
and a list of entertainers before the event date, and if necessary make the required changes before the event. Any violation
of this clause renders this rental agreement null and void; consequently the event will be stopped immediately with no
refund of rental monies previously paid. Friday/Saturday: live music must be off no later than 12:30 AM. Sunday to
Thursday: live music must be off no later than 11:30 PM.
9) SOCAN (Society of Composers, Authors and Music Publishers of Canada) requires that the users of music obtain a
SOCAN license to perform, or authorize others to perform, copyright music in public. To ensure that the appropriate license
is, in fact, in place, the policy of the Wise Hall is to collect and remit the required license fee to SOCAN. The fee
for an event with dancing is $57.55, plus GST ($61.58) and without dancing $28.75, plus GST ($30.76). Please note that the use
of copyright music without a valid SOCAN license may lead to a legal action for copyright infringement under the Copyright
Act of Canada. Concert presenters are expected to remit SOCAN directly.
10) Use of our sound system requires you to pay the technician in cash the amount identified on your contract on the night
of your event. Full Band Sound System: a sound technician will remain in the hall with the equipment even if you provide
your own mixing person. DJ/Speaking Small Sound System: the technician will set up the equipment and advise on how the
system works, the renter will operate their attached equipment.
11) An announcement must be made during each event regarding respect and courtesy to our neighbors.
12) There are no cooking facilities and limited power to service equipment for warming food.
13) Smoking is not permitted in the hall. Door security must be aware and ensure that those people smoking outside are
quiet and respectful of our neighbors' properties.
14) As the hall is an older, wood-framed building, no fire-related devices or entertainment of any kind is permitted in or
around the hall and building. This includes, but is not limited to, flame throwers, sparklers, candles without properly
weighted holders, etc. Any violation of this clause renders this rental agreement null and void; consequently the event will
be stopped immediately and there will be no refund of rental monies previously paid.
15) A deposit of 50% of the Base Rental Fee is required to hold your date. The balance of rental fees plus applicable taxes is
due and payable on the day/evening of the event. Payment is to be made to the Wise Club bartender on duty.
16) Cancellation Policy: Friday/Saturday Evenings: If the renter cancels 60 days or more before the event, a full refund less
an administration fee of $35.00 will be made of fees paid. If the renter cancels 45 days or more before the event, on a one time
basis only the deposit may be transferred to another date. If the date is not transferred the deposit will not be refunded.
Other times: If the renter cancels within twenty-one (21) days of the event, the deposit will not be refunded.
17) The WISE Club reserves the right to cancel your event four weeks prior to your event date, all deposits will be refunded.
18) It is the renter's responsibility to inform any associates, assistants, and volunteers participating in the event, of the
terms of this agreement and to advise their representatives to abide by the terms of the agreement.
19) The WISE Club reserves four (4) complementary tickets to the event, for use at its discretion.
20) There will be an additional charge of $50.00/light, to the rent, if the Fresnel(s) Light (s) are not refocused to the stage.
21) Renters are expected to have adequate public liability insurance to cover events presented at the WISE Hall. Insurance
coverage is transferable to our site or for private, business renters or not-for profit organizations who have appropriate
coverage. If event coverage of your activity is not provided, please inquire about local insurers.
22) Special Arrangements: Please advise the Hall Coordinator in advance if you require considerations such as arranging
delivery or pick up of items outside the rental period, prearranged complimentary bar tickets, extra services such as wine
corking, catering or event staffing, the use of communication lines for data transmission or if you will be distributing
promotional items to event attendees. Film activities require special approvals and agreements on Hall use.
All terms and conditions have been read, understood, and agreed to.

wipe away any remaining moisture on the shelves
- Remove all bottles, cans, & boxes from the bar area
- Remove all refuse from the bar area, stage, green room and hall
- If you used the coffeepot, clean it thoroughly
- If you used ashtrays, scour them & leave to dry on counter
- Wipe down drainage tray and sink area
- Wipe down bar counter area
- Wipe down hall tables, &, if necessary, chairs
- Rinse bar towels, hang to dry
- Clear all refuse (empty glasses, food, decorations) into the garbage
- Bag tablecloths (if used) and leave them at the bar area
HALL NO-NOs
- Staples, duct tape, masking tape (please use scotch tape, putty or
push pins)
- Permitting items larger than 10 pounds or 3 Cubic Feet
- Opening the rear emergency exit doors during performances
- Permitting smoking outdoors off the WISE Club property
- Permitting beverages to be taken outside
